Job Applicant Privacy Notice
SweetRush Inc. (“SweetRush,” “we,” “us”) is the company that is recruiting for the job vacancy for which you have applied. As part of our recruitment process, SweetRush will collect and process your personal information as described in this Privacy Notice and will be responsible for complying with applicable data protection laws.
SweetRush is committed to being transparent about how it collects and uses your data and to meeting its data protection obligations. SweetRush also respects your privacy and will treat your personal information as confidential. We will use and share your personal information only as described in this Privacy Notice. By applying for any job vacancy or participating in the recruitment process for one, you agree to be bound to the terms of this Privacy Notice.
What information do we collect?
SweetRush collects a range of personal information about you. This may include:
- Your name, address, and contact details, including email address and telephone number;
- Details about your qualifications, skills, experience, and employment history;
- Information about your current remuneration expectations, including benefit entitlements; and
- Information received from your references during the vetting and background check process.
Your personal information does not include any confidential or proprietary information noted, gathered, or communicated by or within SweetRush as part of the recruitment and interview process. Such information is considered confidential information of SweetRush and shall not be subject to this Privacy Notice.
How do we collect this data?
SweetRush may collect this information in a variety of ways. For example, we might collect data from application forms, CVs, or resumes or through interviews or other forms of assessment.
We may also collect personal data about you from third parties, such as former employers acting as references. We will seek information from third parties prior to presenting you with a job offer, and we will inform you that we are doing so.
Your data will be stored in the record of your application, HR management systems, and other IT and applicant tracking systems (including email and the JobAdder servers).
Why does SweetRush Inc. process personal data?
We need to process data at each stage of the recruitment process. We may also need to process your data to enter into a contract with you.
SweetRush has a legitimate interest in processing personal data during the recruitment process and in keeping records of the process. Processing data from job applicants allows us to manage the recruitment process, assess and confirm a candidate’s suitability for employment, and decide to whom to offer a job. We may also need to process data from job applicants to respond to and defend against legal claims.
If your application is unsuccessful, SweetRush may keep your personal data on file in case there are future employment opportunities for which you may be suited. We will ask for your consent before we keep your data for this purpose, and you are free to withdraw your consent at any time.
Who has access to your personal data?
Your information may be shared internally among certain SweetRush staff for the purposes of the recruitment exercise. These may include members of the HR and recruitment team, interviewers involved in the recruitment process, managers in the business area that has the vacancy, and IT staff (if access to the data is necessary for the performance of their roles).
We will not share your data with third parties unless your application for employment is successful and we make you an offer of employment. We will then share your data with your former employers in order to obtain references and with employment background check providers to obtain necessary information about your employment history.
How does SweetRush protect your personal data?
We take the security of your data seriously. We have internal policies and controls in place to ensure that your data is not lost, accidentally destroyed, misused, disclosed, or accessed by anyone except our employees in the proper performance of their duties.
For how long does SweetRush keep your personal data?
We will keep your personal information for as long as necessary in connection with the purposes described in this Privacy Notice and in accordance with SweetRush's retention policy and applicable law. If you want to learn more, please reach out to email@example.com.
As a data subject, you have a number of rights. You can:
- Access and obtain a copy of your personal data on request;
- Require that the organization change incorrect or incomplete data;
- Require that the organization delete or stop processing your personal data (for example, where the data is no longer necessary for the purposes of processing); and
- Object to the processing of your data in cases wherein SweetRush is relying on its legitimate interests as the legal ground for processing.

What if you do not provide personal data?
You are under no statutory or contractual obligation to provide data to SweetRush during the recruitment process. However, if you do not provide the information, we may not be able to process your application properly or at all.
